Property management

For landlords, property managers and letting agents managing residential or commercial units.

No licence fees

Most rent books are spreadsheets and M-Pesa messages. That works for ten units — not for two hundred. We automate the monthly cycle so your team spends its time on tenants, not reconciliation.

How it works

From day one to year end.

A walk through the property cycle, step by step — what your team does, and what the system takes care of.

01

Properties and units

Each property is set up with its units — flats, shops or offices — and the rent and charges that apply to each. You can see occupancy for the whole portfolio at a glance.

What the system does
  • Properties, blocks, floors and units
  • Rent, service charge and deposit per unit
  • Unit status: occupied, vacant, reserved, under repair
  • Ownership recorded where you manage for other landlords
02

Tenant moves in

A tenant is registered and a lease is created for their unit. The deposit and first month’s rent are invoiced straight away, and the lease terms drive everything that follows.

What the system does
  • Tenant KYC, contacts and documents
  • Lease start, end, rent, deposit and notice period
  • Rent escalation by a percentage on a date you set
  • Lease agreement generated from your template
03

Monthly invoicing

On the date you choose, every active lease is invoiced in one run — rent, service charge and any utilities — and tenants receive their invoice by SMS or email.

What the system does
  • Rent and service charge billed automatically
  • Water and other metered utilities added from readings
  • Invoices sent to tenants by SMS or email
  • Every invoice posted to the accounts
04

Tenant pays

Tenants pay to your paybill using their unit number as the account. Payments are matched instantly and the tenant gets a receipt with their balance.

What the system does
  • M-Pesa payments matched by unit number
  • Bank and cash receipts entered by the office
  • Part payments and overpayments handled correctly
  • SMS receipt with the remaining balance
05

Arrears and follow-up

Anyone who hasn’t paid by the due date shows up in arrears. Reminders go out automatically and late fees are charged according to the lease.

What the system does
  • Arrears by tenant, unit and property
  • Automatic SMS reminders before and after the due date
  • Late payment penalties from the lease terms
  • Tenant statements for follow-up conversations
06

Move-out

When a tenant gives notice, the system tracks the notice period, records any damage or unpaid charges, and calculates the deposit refund.

What the system does
  • Notice period tracked from the lease
  • Deductions for damage, utilities or unpaid rent
  • Deposit refund calculated and paid out
  • Unit marked vacant and ready to let
07

Landlord reporting

Owners see what was collected, what was spent and what is due to them. Where you manage on behalf of landlords, your commission is calculated and deducted.

What the system does
  • Collections and expenses per property and landlord
  • Management commission calculated automatically
  • Landlord statements and payouts
  • Occupancy, income and arrears reports
No licence fees

Why it costs less to run.

Proprietary systems charge per user, every month. Ours run on an open-source platform — you pay for setup, hosting and support, never per seat.

01

No licence fees

Our systems run on an open-source platform. Add users, branches or campuses without paying per seat.

02

Accounting built in

Every transaction posts to a real general ledger — no separate accounting package to reconcile.

03

M-Pesa, SMS & eTIMS

Payments, notifications and KRA compliance are part of the system, not add-ons.

04

Your data, your choice

Run it in our cloud or on your own server. You can always export everything.

Questions

What people ask us.

Something else? Ask us directly →

Does it work for agencies managing for several landlords?

Yes. Each property is linked to its owner, collections and expenses are tracked per landlord, and your management commission is calculated before payouts.

How are water bills handled?

Meter readings are entered for each unit, the consumption is priced at your rate, and the charge is added to that month’s invoice automatically.

Can we import our current tenants and balances?

Yes. We import properties, units, tenants, leases and opening balances from your spreadsheets and check the totals with you before the first invoicing run.

What about commercial leases with escalation?

Leases can carry an escalation percentage and date, so the new rent applies automatically from the right month without anyone having to remember.

What does it cost?

There is no per-user licence fee. You pay a setup fee and a monthly fee for hosting and support, based on the number of units you manage.
